Who we are
Zenith Commercial is a commercial real estate brokerage licensed by the Real Estate Council of Alberta, with its office at 12230 106 Avenue, Edmonton, Alberta. In this policy, "we" and "us" mean Zenith Commercial.
This policy explains what personal information we collect through zenithcommercial.ca, why we collect it, and what we do with it. When we act for you on a lease, sale, purchase or property management, the service agreement for that work also applies.
Our Privacy Officer answers questions about this policy and about how we handle personal information. You can reach them at info@zenithcommercial.ca or 780-446-5250.
What we collect and why
Enquiries
Our contact page, listing pages and Book a call page ask for your name and email address. On contact and listing pages, you can also give a phone number and a message. On Book a call, you can share the days and times that suit you. We also record which listing you asked about and which page you sent the form from.
We use this to answer you, arrange a call, and follow up about the property or service you asked about. We do not record your IP address with an enquiry.
Groundwork sign-up
If you tick the box to hear about new Groundwork articles, we keep your email address, the exact wording you agreed to and which version of that wording it was, the page you signed up on, and the date and time. We use this to email you when we publish a new article, and to show that you agreed, which Canada's anti-spam law requires.
How the site is used
We measure how the site is used ourselves, without an analytics company. The section on cookies and site measurement below explains exactly what is recorded.
Staff accounts
Our staff, and the agency that maintains the site, sign in to a private dashboard to edit the site and handle enquiries. For those accounts we keep the name, email address and role, sign-in records, and a log of each change made, including the IP address and browser used. We use this for security and to know who changed what.
We do not sell personal information, and we do not share it with advertising networks.
Consent
When you send us a form, you agree to us using what you sent for the purpose described above. We only ask for what we need, and the phone number is optional. You can withdraw your consent at any time by contacting our Privacy Officer. If withdrawing means we can no longer help with something, we will tell you.
Email from us
- If you send an enquiry, we reply to it and may follow up about what you asked.
- We add you to the Groundwork list only if you tick the box yourself. The box is never ticked for you, and sending an enquiry does not add you to it.
- Every Groundwork email has an unsubscribe link, and unsubscribing takes effect as soon as you confirm it on that page. You can also email info@zenithcommercial.ca and we will act on it within 10 business days, as the law requires.
- After you unsubscribe, we keep your email address and the date you left, so that we do not email you again.
Cookies and site measurement
Our website does not set cookies for visitors and does not store anything in your browser. The staff dashboard uses a sign-in cookie, for staff only.
When you open a page, your browser sends us:
- the page address, and the listing if the page is a listing;
- on the Properties page, the filters used (property type, lease or sale, minimum size) and how many results came back;
- how long the page was open and how far down it was scrolled;
- whether the screen is phone, tablet or desktop sized;
- whether you arrived directly, from within our site, or from another website; for an external referral we keep only the referring domain name, not the page address;
- campaign labels included by the link you followed, such as its UTM source, medium and campaign;
- which marked links or buttons were used, and which step of a form was reached, abandoned or produced a validation error. We do not record what you type into a field.
To group one visit together, our server makes a code from your IP address, your browser's identification, the date and a secret key that is replaced whenever the server restarts. We store only that code, never your IP address or browser details. Because the date is part of it, the same person on two different days produces two unrelated codes, and the code cannot be traced back to you. These records are deleted automatically after 90 days.
Like most websites, our server also keeps short-term technical logs of requests, which include IP addresses, for security and troubleshooting.
Maps and video from Google
Listing pages and our contact page show a map served by Google. When the map loads, your browser connects to Google, which receives your IP address and browser information and may set or read its own cookies. That is covered by Google's Privacy Policy, not by ours. We receive nothing from Google about you.
Where a page shows a video, its preview image is loaded from YouTube's servers. The video itself loads only when you press play, from YouTube's privacy-enhanced service, and YouTube's policies then apply.
Who else handles your information
We use a small number of service providers to run our website and email: the company that hosts our server, the agency that built and maintains the site, and our email provider. Each handles personal information only to provide its service to us. The maps on the site come from Google, as described above.
We may also disclose personal information where the law requires or allows it, for example to the Real Estate Council of Alberta, a court, or law enforcement.
Service providers outside Canada
Our website server, and everything it holds, is currently in the United States. That includes enquiries, sign-up records, site measurement records, staff account records and backups. We use that provider to host, store, run and back up the website and its database. Information held in the United States is subject to United States law and may be accessed by courts, law enforcement and national security authorities there. We plan to move the website to a Canadian data centre, and will update this policy when we do.
You can ask for written information about our policies and practices for service providers outside Canada, or ask any question about how they collect, use, disclose or store personal information for us. Contact our Privacy Officer at info@zenithcommercial.ca or 780-446-5250.
How long we keep it
- Enquiries and related email: only as long as we need them to deal with your enquiry and any work that follows, and to meet our legal and professional record-keeping obligations as a brokerage.
- Dashboard change log: kept for security and accountability. When an enquiry is deleted, the log keeps a copy of it as it was.
- Groundwork sign-ups: for as long as you stay subscribed. After you unsubscribe, we keep your email address, your consent record and the date you left, so we can show we honoured it.
- Site measurement: 90 days, deleted automatically.
- Backups: made daily and kept for 14 days, so information we delete can remain in a backup for up to 14 days.
How we protect it
- The site uses encrypted connections only.
- The public website can add an enquiry or a sign-up to our database but cannot read either back.
- Only named staff accounts can see enquiries and the subscriber list, and each account's permissions are checked on every request.
- Passwords are held by a separate sign-in service, and staff sign-in cookies cannot be read by scripts on the page.
- Every change made in the dashboard is logged.
No system is perfectly secure, but we take reasonable steps to protect your information.
Your rights
You can ask us for a copy of the personal information we hold about you and how it has been used or disclosed, to correct information that is wrong or incomplete, or to withdraw your consent. Write to our Privacy Officer at info@zenithcommercial.ca. We may need to confirm your identity first. We will respond within 45 days, or tell you if we need more time as the law allows, and we will tell you in advance if any fee applies.
If something goes wrong
If personal information we are responsible for is lost or accessed without authorization, and a reasonable person would consider there is a real risk of significant harm, we will report it to the Office of the Information and Privacy Commissioner of Alberta without unreasonable delay and, where required, tell the people affected directly.
Children
This website is for businesses and adults. It is not directed at children, and we do not knowingly collect information from anyone under 18.
Changes to this policy
If we change this policy, we will post the new version here with a new effective date.
